There's a lot of pressure to "use AI" without much clarity on why. The honest answer for most small businesses is: AI is worth it when it removes a specific, repetitive task — not because it's trendy. Here's a quick test.
Is the task repetitive and rule-based?
If your team does something the same way many times a week — sorting enquiries, drafting similar replies, pulling reports — that's a strong candidate. One-off, judgement-heavy work usually isn't.
Is the cost of a mistake low or recoverable?
Good automation keeps a human in the loop where stakes are high. Start with tasks where an occasional error is easy to catch and fix, and tighten from there.
Can you measure the time it saves?
If you can put a number on the hours a task eats each week, you can prove the return. If you can't measure it, it's probably not the place to start.
